What you see here

Under My company you find the Contributors screen, subtitled “People who have access to this company account”. Each person has a row showing the Created date, the Last Log in and one or more role chips:

  • Account Owner: the person who created the account or received ownership. Only this role can give others access.
  • GDPR coordinator: the person who takes on GDPR coordination inside your company. GDPR wants every company to have someone with this task, and this person is named in your legally required documentation.
  • Dossier coordinator: anyone who is not the Account Owner or GDPR coordinator but works on the dossier.
  • Agent: a role for people who contribute on behalf of a reseller or partner.

Next to the role a row can show a status: Invitation not yet accepted, Disabled or Suspended by admin.

What is expected of you

  1. Invite your colleagues. Click the + button (Add contributor). In the Invite new contributor window fill in the details under General and the role under Permissions. Confirm with Invite contributor. The person receives an email and appears in the list with the status Invitation not yet accepted until they accept.
  2. Appoint a GDPR coordinator. Open the menu on the right row and choose Make GDPR Coordinator. Not sure who it should be? Usually it is the business owner or the person who knows the dossier best. This name goes into your privacy policy and your records of processing.
  3. Give the others the Dossier coordinator role. Anyone who contributes to the dossiers but is not the owner or GDPR coordinator gets the right role via Make Dossier Coordinator. Remove Dossier Coordinator role takes it away again.
  4. Tidy up when someone leaves. Use Make inactive on this account to disable someone temporarily, Activate on this account to reverse that, or Remove from this account to revoke access for good. An open invitation is withdrawn with Cancel invitation.
  5. Transfer ownership when needed. With Make Account Owner you hand over the account, for example after a change in management.

You are done when there is an Account Owner and a GDPR coordinator, everyone who works on the dossier has a role and no row still shows Invitation not yet accepted.
