What you see here
The GDPR Documents screen is where the work in your dossiers pays off. Everything you filled in across your customer, staff and third-party dossiers is used here to generate your legally required documentation.
Four tabs sit at the top:
- Core documents: the documents GDPR expects from every company.
- Data Sharing Agreements: the agreements with your third parties, linked to your third-party dossier.
- Templates & tools: documents you complete yourself, such as an incident log.
- Seals & widgets: the GDPRWise seal and the snippets for your website.
Under Core documents there is one card per document: Privacy Policy Customers, Privacy Policy Staff, Records of Processing Activities, Cookie Policy, the Data Breach Incident Log template, the Data Subject Requests Register and the Seal. Each card shows a status badge:
- Current: the document was generated from your current dossier.
- Needs update: your dossier or the GDPRWise template changed since the last version.
- Never generated: you have not created this document yet.
- Template: a tool you fill in yourself.
- Locked: available on a paid plan.
At the top of the page GDPRWise also checks whether the privacy policy published on your website still matches the latest version. You will see either “Your published privacy policy is up to date” or a notice that the page on your domain looks outdated.
What is expected of you
- Review your dossiers first. The documents are only as good as the dossiers behind them. Ask a colleague to read through the dossiers to make sure they reflect how your company actually handles personal data.
- Generate the documents that apply to you. Click Generate on each card. For the cookie policy choose Scan & generate, so the cookie list comes from the website scan. Generate in multiple languages creates the translations in one go. Generating requires a paid plan; during the free trial you see a partial document.
- Place the link or snippet on your website. Use Copy snippet or the download link. The link always serves the most recent version from the GDPRWise server, so your website keeps up on its own. Every generated version is kept.
- Regenerate when the app asks. If you change your dossiers later, or GDPRWise updates a template, the notice “We detected changes in your dossier. Generate a new version of your documents!” appears and the card gets the Needs update badge.
- Show your seal. At the bottom of the page you find the GDPRWise seal you can place on your website to show visitors that your GDPR is in order.
You are done when every document you need shows Current and the check at the top reports that your published privacy policy is up to date.
