What you see here
At the top right of the app you see your name, with the company you are currently working in and your role underneath, for example (Admin). Click it and the profile menu opens. It has three parts.
At the top is your email address with a flag showing your current language, and below it the links Edit my profile and Logout.
In the middle, under Your Companies, is the list of companies you have access to. The company you are working in is the one shown in your name box. Below the list you find Register new company.
At the bottom are the links to the GDPRWise Privacy Policy and Terms & Conditions.
What is expected of you
Editing your profile
Edit my profile opens the My Profile window with two tabs.
On User details you find your Name, your Email, the Language field and the option Receive the newsletter, with the Change password button below. Click Save after each change.
- Name. This is how colleagues see you in the Contributors screen and in invitations.
- Email. Click Change email to enter a new address. GDPRWise sends an activation email to that address to check that it exists and is yours. Make sure you can access it before you confirm.
- Language. Choose Nederlands, English, Français or Deutsch. The language is already filled in when you first sign in: GDPRWise derives it from your company’s domain. After that every user picks their own language, even when colleagues in the same company use a different one. The app switches immediately after Save. Your language also drives two other things: your notification emails arrive in this language, and generated documents such as your privacy statement are written in the language set in your profile at that moment. If you need a document in a second language, switch language temporarily, generate it again and switch back; both versions remain under GDPR documents.
- Receive the newsletter. Turn on or off as you like. If the option is locked, the newsletter was disabled after a bounced email or a spam report; support can re-enable it.
- Change password. Enter your current password, then the new one twice, and click Save.
On Companies you see your role per company: Account Owner, GDPR Coordinator or Dossier Coordinator. If you were invited but have not accepted yet, you see the message Invitation not yet accepted with the button Accept invitation. Only after accepting can you contribute to that dossier.
Switching between companies
If you work for several companies, for example as an accountant or adviser, click the name of the company you want under Your Companies. The dashboard, dossiers and documents you see afterwards belong to that company. Each company has its own subscription. If you manage many companies at once, the Managed companies screen is more convenient.
Registering a new company
Register new company starts a new dossier for another company under the same account. You go through the same wizard as at your first registration. The new company then appears in the Your Companies list.
Reading the terms and privacy policy
At the bottom of the menu are Privacy Policy and Terms & Conditions. These are the agreements that apply to your account: what GDPRWise does with your data and your dossier’s data, and the conditions under which you use the service. You do not need to log out or go to the website; both open from within the app. Useful when your processing register or supplier dossier needs a reference to the agreements with GDPRWise as a processor. The same texts are also on the website: privacy policy and terms and conditions.
Logging out
Logout ends your session. On a shared computer that is the only way to prevent someone else from seeing your dossier.
You are done when the app appears in your language, the flag next to your email address shows that language, and you see every company you work for under Your Companies.
Next step
To give colleagues access to a dossier, you do not do that here but in the Contributors screen. If you receive emails in an unexpected language, first check the Language field in your profile. If something does not work, get in touch via help and support.
